The ability to view and edit pay codes is based on manager permissions. The details that can be viewed by managers depends on the selected permissions set for the manager.
- The Manage Pay code entry setting in the manager permissions screen allows a manager to see, edit and enter the expenses/pay codes portion of a time entry.
- View employee earnings this allows a manager to view an employees entered pay codes as well as the estimated amount paid for that particular entry and all estimates of pay for calculation in the time card approval and TimeTracker reports.
Administrators, Super Managers and managers that have the Manage sub-managers permission active, are able to activate these permissions for a Manager.
Navigate to Manager Screen:
Preferences > Managers
Select Edit Permissions.
In the additional settings, locate the Payroll Settings.
Select the following:
- Manage pay code entry?
- View employee earnings?
Once you have made the selection, Submit Form.
If the above permissions are not selected the manager will be unable to see the expenses/pay codes section of a time entry or view data in the all expenses column within the payroll reports.
NOTE: The TimeTracker report requires both "View employee earnings" and "Manage pay code entry" permissions enabled for a manager to see the All Expenses column.
Manager 1: John Anderson has the features available
Manager 2: Tom Cat does not.
Creating a New Time Entry:
Navigation to Create New Entry:
TimeTracker > Create New Entry
The image below shows the time entry view for John Anderson (Manager 1) that has had the Manage Pay Code Entry activated on his permissions. He is able to add Expenses/Pay Code to the employees’ time entry.
The image below shows the time entry view for Tom Cat (Manager 2); who does not have Manage Pay Code Entry active on his permissions, therefore the Expenses/Pay Codes box not available.
TimeTracker Reports:
Navigation to TimeTracker Report:
TimeTracker > TimeTracker Report
John Anderson (Manager 1) is able to see all expenses as well as the est. rate paid for the employees.
Tom Cat (Manager 2) however is unable to see this information as he does not have the permission to view employee earnings.
Payroll Reports:
Navigation to Payroll Reports:
Reports > Payroll Reports
With your payroll reports, as with the TimeTracker Reports, the information viewed is based on the permissions set for a manager account.
John Anderson (Manager 1) is able to see all expenses as well as the est. rate paid for the employees.
Tom Cat (Manager 2) however is unable to see this information as he does not have the permission to view employee earnings.
