Introduction:

Manager permissions are used to assign the various responsibilities managers will have when making administrative decisions to their assigned employees.  Use the below reference to understand which items are applicable to the needs of your organization.

Navigation:

Use the following options to navigate to the permissions page for managers.

 

Personnel Hub > Managers > View All > selected Manager > Edit Permissions

Access Permissions:

Set the type of manager by using the drop down.  The options are Manager or Super Manager.  Using the manager permission will allow for detailed control using settings which are displayed below.  Selecting a super manager permission set is usually reserved for administrators, HR or payroll admins of your organizations.  We do not recommend giving Super Manager access to more than a few individuals.

  • Receive day off request email? – This will allow the manager to receive day off request emails from personnel that he is limited to/departments that they manage.

 

This is an example of an HTML formatted day off request.

 

  • Is Supervisor? – This is ticked if the manager is the supervisor of a specific department; supervisors have significantly less access than standard managers.

  • Receive email in HTML format? – HTML email format allows images to be sent and will allow formatting which is not provided with PlainText which is regular text, with no formatting options such as bold, italics, underlines, or special layout options.
  • Manage onBoarding? – This will allow the manager access to view and manage onBoarding documentation, for example W-4’s.
  • Skip personal verification through onBoarding? – This will allow the manager to skip the process of going through onBoarding if they do not have an employee profile. NOTE: The downside, if the manager does not complete their personal profile, they will not be carried across to the payroll system if the account is set to sync, if you are using our payroll module. This option is selected if the manager is a manager only and does not have an employee profile with the company.
  • Allow onBoarding document deletion? – This permission allows the manager to delete forms that have been completed through onBoarding. NOTE: that if a manager deletes a form – this is NOT archived, the form is completely deleted. This is only available in Classic onBoarding.
  • Verify I-9's company-wide? – Allows the manager to verify all I-9’s completed by any employee from any department. (not limited to their own department/personnel)
  • Allow manager to approve forms? – Allows the manager to approve forms received from the personnel within their limited personnel / department.
  • Manage external payroll system? – This permission allows the manager to access the payroll system using the SSO feature within WorkSight for payroll data.
  • Allow manager to access document manager? – Allows the manager access to document manager.

General Permissions:

Preferences

  • Edit general account information? – Manager will have access to the accounts general information and will have the ability to edit general company information.

  • Edit account billing information? - Manager will have access to the accounts billing information with the ability to edit billing information.

Personnel

  • Manage skills? – Manager will have access to view/manage personnel skills data.

Skills

  • Manage personnel data? – Allows the manager to edit/update personnel data.
    • Allow batch employee import? – This will allow the manager to complete a bulk employee import.

Side Menu > Modules > onBoarding > Bulk Employee Import

 

  • Manage sub-managers? – In order for a manager to be able to create sub-managers the following setting is required.

 

Personnel Hub > View All Personnel > Login Tab

Other managers/super managers will be able to see who made the new manager if they were granted permission as per above image.

 

  • Show social security number? – This permission allows the manager to see employee’s full social security number.

 

Personnel Hub > View All Personnel > Employment Tab

  • Apply IP restriction? – When you apply an IP restriction; this allows the manager to only log in from the computer set with the IP that has been added, restriction not applied in WorkSight.

 

  • Manage IP addresses? – Allows the manager to set up IP address. The security that WorkSight uses to keep employees from clocking in off site is controlled by the Allowed IP addresses.

TimeTracker Settings

 

  • Manage Employee Number (mass edit on payroll page)? – Allows the manager to edit employee numbers within the payroll screen

  • Send Reset Password E-mail? – This allows the manager to send a password reset e-mail from the personnel login page.

Reports

  • View managerial report? – Allows the manager to view managerial reports.
  • Run reports? – Allows the manager to run reports.
  • Run Bonus Tracking Report? – Allows the manager to run the “Bonus Tracking Report” provided your company allows for bonuses.
  • Allow adjust time on Day off accrual report? – Grants the manager permission to edit times on the day off accrual report – this will be shown in the audit report and as an override.

 

Holidays and Days Off

  • Manage holidays/events? – Grants permission to the manager to allow them to manage/edit holidays and events.

  • Manage days off rules – Allows the manager to maintain/update the day offs rules

 

Navigation: Side Menu > Account Settings > Time and Attendance > Day Off Accrual Rules

 

  • Manage day off requests? – Allows the manager to manage pending day off requests.
    • View only?
    • Edit entries of finalized payrolls?

 

TimeTracker and Scheduler

  • Manage TimeTracker entries? Grants the manager permission to manage time entries.
    • View only?
    • Edit/Approve own time entries.

  • Manage physical time clocks? – Allows manager to manage physical time clock associations.
  • View badge errors – Will allow the manager to view badge errors.
  • Manage jobs/phases? – Allows the manager to create, edit, assign and delete Jobs and Phases of personnel.

  • Manage scheduler? - Allows the manager to maintain schedules for their department.
    • Manage schedule for all departments – Allows manager to maintain schedules for all departments.
  • Manage messenger? - Allows the manager to manage messenger.

 

Department/Location and Shifts

  • Manage Departments and Locations? – This allows the manager to create, edit, assign and delete Departments and Locations.
    • Deny deletion of Departments and Locations? – This will allow the manager to edit and view departments and locations but will not allow them access to delete them.

  • Manage shifts? – This allows the manager to create, edit, assign and delete

Navigation: Side Menu > Account Settings > Time and Attendance > Shifts >Create New/View All

 

  • Manage swapper requests? – This will allow the manager to receive swapper requests when personnel request to have a shift swopped with another colleague.

 

Payroll

  • Manage payroll? – This will allow the manager to have access to payroll.
    • Create payroll only? – This permission will only allow the manager to create a payroll.
    • Full access except add/edit payroll? – Grants the manager permission to have full access to the payroll with the exception of adding and editing payrolls.
    • View override only, no editing? – Only allows the manager to view overrides, not allowing them to edit payroll entries.
  • Manage only Salaried? – Only manage salaried personnel.
    • Manage only Hourly? – Only manage hourly personnel.
  • Export payroll? – Allows the manager to be able to export payroll data.
  • Manage pay code entry? – Allows the manager to access to pay code entries.
  • View employee earnings? – Access to view employee wages in payroll.
  • View bill rate? - Allows the manager to view billable rates when viewing payroll.
  • Receive unfinalized payroll notifications? – The manager will receive e-mail notifications for payroll that has been created and requires finalization.
  • Manage SUTA Rates? – This will allow the manager to access the SUTA rates screen and grants them access to update accordingly.
